1.Who we are

Asteria Solutions ("Asteria Solutions", "we", "us", or "our") builds custom software and SaaS products for businesses in India, including the LR App, ShopFlow, PO App, and Fleet Manager.

This Privacy Policy explains what personal data we collect when you visit asteriasolutions.in, contact us, or use our products, and how we handle it. It applies to our website and to the products we operate, except where a specific product agreement says otherwise.

2.Information we collect

We collect only what we need to respond to you, deliver our products, and keep them working correctly.

• Information you give us: your name, email address, phone number, company name, and the contents of any message you send through our contact form or by email.
• Account and business data: the records you create inside our products, such as lorry receipts, customers, vehicles, purchase orders, invoices, and uploaded documents.
• Technical information: IP address, browser and device type, operating system, referring pages, and the pages you visit, collected automatically by our servers and analytics.
• Communications: support tickets, call notes, and email correspondence, so we have a record of what was asked and what we did.

3.How we use your information

• To reply to enquiries, prepare quotes, and provide customer support.
• To provide, operate, secure, and improve our products and website.
• To process subscriptions, invoices, and payments, and to keep the accounting records we are required to keep.
• To send service messages about outages, security issues, billing, and material changes to our terms or this policy.
• To send product updates and marketing only where you have asked for them, with an unsubscribe link in every such email.
• To detect, investigate, and prevent fraud, abuse, and technical faults.
• To comply with legal obligations and to establish, exercise, or defend legal claims.

4.Legal basis and consent

Where the Digital Personal Data Protection Act, 2023 applies, we process personal data on the basis of your consent or for legitimate uses permitted under the Act, such as performing a contract with you and meeting legal obligations. Where other data protection laws apply to you, we rely on the equivalent grounds under those laws.

You can withdraw consent at any time by writing to hello@asteriasolutions.in. Withdrawing consent does not affect processing already carried out, and it may mean we can no longer provide part or all of a service to you.

5.Cookies and similar technologies

Our website uses a small number of cookies and equivalent browser storage. Strictly necessary items keep the site working and remember preferences such as your light or dark theme. We may also use privacy-respecting analytics to understand which pages are useful.

We do not use cookies to build advertising profiles, and we do not sell your browsing behaviour. You can block or delete cookies in your browser settings; if you do, parts of the site may not work as intended.

6.How we share information

We do not sell your personal data, and we do not rent or trade it. We share it only in the situations below, and only to the extent needed.

• Service providers who work on our behalf, such as cloud hosting, email delivery, form handling, payment processing, and analytics providers, under agreements that limit their use of the data.
• Integrations you switch on yourself, such as Tally or mapping services, where data is sent only as needed for the feature you enabled.
• Professional advisers, including accountants and lawyers, where necessary.
• Authorities or third parties where required by law, court order, or to protect our rights, our users, or the security of our systems.
• A successor entity in the event of a merger, acquisition, or sale of assets, with notice to you where required.

7.Data storage, transfers, and security

Your data is stored on servers operated by reputable cloud providers. Some of our providers may process data outside India; where that happens, we take reasonable steps to ensure the data continues to be protected to the standard described in this policy.

We use encryption in transit, access controls, role-based permissions, and regular backups to protect your data. Our SaaS products include automated backups with the retention period described in the applicable plan. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we will notify you and the relevant authority of a personal data breach where the law requires it.

8.How long we keep data

We keep personal data only as long as we need it for the purposes above. Enquiry data is kept for up to 24 months from your last contact with us. Product data is kept for the life of your account and for up to 90 days after termination, after which it is deleted or anonymised, unless a longer period is required for tax, accounting, or legal reasons. You can ask us to delete your data sooner, subject to those obligations.

9.Your rights

Subject to applicable law, you have the right to:

• Access the personal data we hold about you and a summary of how it is processed.
• Have inaccurate or incomplete data corrected, updated, or completed.
• Have your data erased where it is no longer needed and we have no legal reason to keep it.
• Withdraw consent, and opt out of marketing communications at any time.
• Nominate another individual to exercise these rights on your behalf in the event of death or incapacity.
• Raise a grievance with us and, if it is unresolved, escalate it to the relevant data protection authority.

10.Children

Our website and products are intended for businesses and are not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.

11.Third-party links

Our website and products may link to third-party sites and services that we do not control. This policy does not cover them, and we are not responsible for their practices. Please read their privacy policies before providing them with personal data.

12.Changes to this policy

We may update this policy as our products and legal obligations change. The date at the top of this page shows when it was last revised. If a change materially affects how we handle your personal data, we will notify you by email or through the product before it takes effect.
